The client, a 29-year old tech executive, wanted to host a charitable event that incorporated his interest in sports, generated networking opportunities, and reflected his generous yet relaxed approach to hosting. The opportunity was to create a late-summer celebration that felt personal and intimate, but without centering the entire experience around the occasion itself.

CONCEPT & APPROACH

Summer’s End was conceived as a one-day charitable sporting tournament followed by dinner: energetic and competitive during play, relaxed over cocktails, and indulgent and celebratory over dinner, dessert, and final prizes. Guests were invited to donate a recommended amount to the labor charity of their choice as their ticket to entry for the tournament.

PRODUCTION

01 a Personalized Reflection of the Holiday

Rather than designing a conventional Labor Day celebration, I developed Summer’s End around a shared, communal activity. A late-summer sporting tournament gave the occasion its structure, while placing emphasis on time spent together. With the host’s request to divert focus from himself, and a wide network of colleagues and friends in attendance, developing a warm, welcoming, and participatory atmosphere was key.

02 a Sporting, yet Relaxed Program

The eight-hour program included welcome refreshments with favors, a badminton tournament, team assignments, hors d'oeuvres, halftime pool activities, followed by a prize ceremony and dinner with dessert. Planning included florals, F&B, rentals, furniture, event materials, and vendor coordination. The day was paced to encourage participation, a sporting yet relaxed atmosphere, and options to play as well or as casually as guests wished.

03 Designed for Play and Ease

The event was planned for 20 guests traveling to a private estate in NJ over Labor Day weekend. I developed transportation plans accounting for traffic and staggered arrivals, and teams were intentionally allocated in advance according to guest sporting experience. Guest flow, wayfinding, event cadence, and moments of delight were carefully designed to feel smooth and spontaneous. Dietary restrictions were communicated to the chef 2 weeks in advance, and the accessibility of the private estate walked through over multiple weeks, and the guest flow adjusted throughout.

04 Experiences for Diverse Interests

Since the event involved significant outdoor programming across several areas of the property, the production plan and risk matrix accounted for weather, guest movement, fluctuating activity levels, critical safety precautions around hunting season, and alternate spaces. Flexible yet interconnected event sequences would allow guests to explore the estate at their own pace, while guiding the overall guest flow from active competition, to an indulgent dinner, to a final dessert on the lawn with a surprise prize ceremony— thus ending the night on a note of delight.

CURRENT STATUS

Following changes in vendor availability, the original production was scaled back to a smaller private celebration. The planning materials document the original event concept and pre-production work.
